Quick Start Guide

Step-by-Step Tutorial
1. Login to DisputeFox
Username & Password
Login using the username and password provided in the welcome email. If you did not receive an email with instructions, please contact us and we will re-send it to you. (be sure to check spam folders)

2. Signing Your Agreement
Read Through & Sign
The first time you login to your new system, you will be prompted to sign the Service Agreement.

Either use your mouse (or finger if you are on tablet or mobile) to agree to the terms.

Be sure to check the boxes at the bottom.

Your logo and info will appear in the following places:

Affiliate Portal
Invoices
Email Signatures
Email Templates
Client Communications
Logo should be 600px wide and Horizontal in shape with a WHITE or Transparent background. Files can be either .jpg or .png format.

4. Profile, Roles & Permissions
Profile Setup
Upload your photo and enter your contact information for your clients to see. If you have a Multi-User account, you can setup your team members here as well.

Roles & Permissions
If you have a Multi-User account, you can setup roles like "ADMIN" or "SALES PERSON" etc.. and for each Role you can define what they can and can't access or do in the system.

5. Contract, Due-In Counter & Letters
Client Agreement
Upload your custom client agreement for your clients to sign, or use the example one we have provided - but be sure to edit it!

Knowing when to do the next credit pull for your client is key - here you can set how many days out you want a reminder (30,45 etc..)

We provide a full library of ready to go dispute letters, but here you can edit or add your own custom letters.

6. Email, SMS & Communications
Email Setup Option 1
Use Our Email System (Email Package Required)
Set the Default Email Address
If you have signed up for a package that INCLUDES email, then all you have to do it add what email address you want your customers to see in the Admin >> Company >> Company Profile section under "Sender Email".

When your customer gets an automated email or notification it will show as coming from you (yourname@yourdomain.com), so they can also reply to the email directly.
MULTI-USER Accounts
Same initial step as above, but in addition, each team member you setup has an email address associated with them. When your team members get email notifications about their assigned clients, it will go the email address on that person's profile.

Using Your Own Email Account for Sending
SMTP Setup
If you want to have all the automated emails sent using your own SMTP account, then you will need to go to Admin >> Email & SMS >> Email Configuration.
To use this function, you will need to setup your own SendGrid account and enter the provided details into the email settings area.

Configuration
Click on the "Add New Email Configuration" button and enter your details on the popup screen, and save.

You can setup MULTIPLE email addresses and domains here so you can switch between them for different Workflows or Email Templates.

This way you can be sure your email gets through, and uses the right reply email address each time.

(Optional Feature - Requires Voice / SMS level package)
SMS Setup
To use the SMS feature to communicate directly with your clients, and take advantage of Automated Workflows that use SMS, first you will need to create an SMS account with Twilio. You can choose a level that best suits your needs.

Once your account is established, you can go to Admin >> Email & SMS >> Twilio Configuration.

Here you will fill out all the account and data fields provided by Twilio.
Phone Dialer Setup
You will need to setup your Twilio account and choose a VOICE package from Twilio. If you have already setup an account before, you can just add this service to your Twilio account.

Once your account is established, you can go to Admin >> Email & SMS >> Twilio Configuration.

Here you will fill out all the account and data fields provided by Twilio.
6. Affiliates
Affiliate Settings
Your Affiliate portal will come already setup, but if you want to hide or show any pages / features, you can do this by going to:

Adding an Affiliate
To setup a new Affiliate, go to the main "Affiliates" tab at the top. click the "Add Affiliate" button and fill out the form.

Affiliate Web Form
Once you have your Affiliate setup, you can provide them with a website form. They can also manually enter leads in their portal.

8. Web Forms Setup
Ready-to-go Forms
Pre-Loaded Common Web Forms for your Website
Contact, Consultation & Signup Forms
Ready to go (but editable) Consultation & also a Signup form. We have set them up one with the most common fields, but feel free to modify them.
Web Form Settings
Click "View" on any web form and you will see several options for that form at the top. You will want to modify the following:

Web Form Title & Sub-Title
Adjust any Required Fields
iFrame Embed Option
If you just need a quick way to install these forms on your website, click the "Embed" button for the form you want to install, then "Copy" the embed code, and have your web company install it on your site.
Very easy, no hassle installation. The only thing you cannot do is modify the way the form looks as far as layout and colors go. If you want more control, use the "Custom Install" Option

If you want modify the web form layout and colors to better match your website, get the "Custom Install" code and provide it to your web company to install for you.

9. Merchant Account & Billing
Merchant Account
To use our billing system, you will need a Payment Gateway account with Authorize.net, (your merchant account provider can provide more details for you on this part).
Once you have your account established, enter the codes under Admin >> Billing >> Payment Gateway

Billing Setup
Once your Payment Gateway is connected, you can setup packages for your services under Admin >> Billing >> Products/Services
You will be able to setup each client with their own billing totals and additionally choose whether you want to do recurring billing, or manual billing.

10. Importing & Adding Clients
Once all the above steps are complete - you are ready to start bringing on clients!
There are 3 ways to get clients and leads into the system...
Import Clients
If you have a spreadsheet with all your client information, you can use our Simple Import which will transfer things like:

If you have a new client or lead, simply login and click either the "Add New Lead" or "Add New Client" buttons and fill out the form.
